When Jean Paul Payas took over the management of OSG Security, he had a clear objective: to make the company greener and more sustainable. However, he soon realized that the company’s administrative management depended heavily on the use of paper. “We used a huge amount of paper and we knew we had to do something about it”, Jean Paul recalls.
The challenge was clear: transform OSG into a paperless company and fully digitalize its administration. After researching different options, the OSG team found in Odoo the ideal solution. That is how they came into contact with Birtum, a partner specialized in Odoo implementations.

Since the start of the collaboration in 2021, Birtum has played a key role in the digital transformation of OSG.
“Odoo showed us what it could offer us, but Birtum gave us the detail on how we could apply it to our company”, says Jean Paul.
The project was structured in three phases:
Analysis and diagnosis: The Birtum team worked with the managers of each area to understand the company’s specific needs and determine which Odoo applications were the most suitable.
System implementation and design: Workflows were defined and adjustments were made to the system according to OSG’s requirements.
Training and deployment: A Birtum specialist traveled to Gibraltar to train OSG’s teams in the use of the system and optimize its implementation.
Customization and development of tailor-made solutions

“They did not limit themselves to the standard Odoo applications, but created tailor-made solutions for our particular needs”, highlights Jean Paul.
Among the key developments is the creation of three custom applications for OSG, including a system for managing cash in transit within ATMs. This functionality did not exist in Odoo, so the Birtum team designed a solution adapted to OSG’s processes.

“We had to understand the difficulty of managing the operations and systems team and transform their processes to digitalize them completely. The initial resistance was a challenge, but with training and support we managed to overcome it”.
Results: a more efficient and sustainable operation
The impact of digitalization has been significant for OSG:
The use of paper in administration was considerably reduced.
Key processes were optimized with the integration of Odoo in sales, inventory, project management and field service.
Custom solutions were developed that improved the operation of strategic areas.
The managers’ adoption of the system has been positive and has driven greater efficiency in the organization.
Future: a constantly evolving digitalization
OSG does not stop here. The next step is the total digitalization of the Human Resources department.
“We are exploring new opportunities to keep expanding digitalization in the company”, says Jean Paul.
