Practical Guide: How to Comply with VERI*FACTU in Odoo Step by Step

The implementation of VERI*FACTU in invoicing systems is a key requirement for companies operating in Spain. If your organization uses Odoo as its ERP, configuring the system correctly will ensure compliance with the regulation and make it easier to generate traceable invoices. In this guide, we explain step by step how to adapt Odoo to the requirements of VERI*FACTU.

1. Initial Odoo Setup

Enable Electronic Invoicing

Before implementing VERI*FACTU, make sure the invoicing module is installed and correctly configured:

  1. Go to Apps in Odoo.
  2. Search for the Invoicing module and verify that it is installed.
  3. Go to Accounting > Configuration > Settings.
  4. Enable the Electronic Invoicing option and select the required format.

2. Generating Traceable Invoices

To comply with VERI*FACTU, invoices must have a unique identification and be unalterable. Follow these steps:

  1. Configure invoice numbering:
    • Go to Accounting > Configuration > Journals.
    • Select the invoicing journal and configure a numbering sequence that guarantees uniqueness.
  2. Unalterable record:
    • Odoo automatically records changes to invoices through auditing.
    • Avoid modifying already validated invoices; instead, use credit notes for corrections.
  3. Digital signing and sealing:
    • Implement a digital certificate to validate the authenticity of invoices.
    • Configure the integration with the Tax Agency for the secure sending of invoices.

3. Sending Invoices to the Tax Agency

  1. Go to Accounting > Invoices and select a validated invoice.
  2. Use the Send to the Tax Agency option if you have the connection to the SII (Immediate Supply of Information) enabled.
  3. Check the sending status and make sure the invoice has been accepted.

4. Auditing and Reports

Odoo lets you generate reports to verify compliance with VERI*FACTU:

  1. Go to Accounting > Reporting > Invoicing Report.
  2. Filter by date or customer to get a detailed summary.
  3. Download the reports in formats compatible with the Tax Agency.

5. Best Practices to Comply with VERI*FACTU

  • Avoid manual edits to invoices already issued.
  • Implement periodic backups to preserve accounting records.
  • Train your team to ensure correct invoice issuing.

With these steps, your company will be prepared to comply with VERI*FACTU using Odoo, ensuring the traceability and validity of its invoices efficiently. If you need help with the configuration or advanced integrations, at Birtum we are ready to advise you. Contact us!
